How to write a laboratory sourcing enquiry
Write a laboratory enquiry as measurable performance, documents and an acceptance check, so a quotation can be compared with the scientific need.

How to write a laboratory sourcing enquiry is a writing problem before it is a purchasing problem. A seller can quote a performance line. A seller cannot honestly quote "the usual one" or "whatever the other lab has". The enquiry that works is a short technical specification: the scientific job, the measurements that define success, the documents you will file, and the check you will do when a box arrives. The path for a structured specification is laboratory procurement. University laboratories can also start from academic research, and company research teams from biotechnology and pharmaceutical research. The quote form and the contact page are how the file reaches a person. Qualified commercial conversations have a separate route under distribution and partnerships. The decision the enquiry supports
You are deciding what you will accept, before price and before a brand story. If you cannot describe acceptance, you cannot tell two quotations apart, and you cannot tell a wrong delivery from a right one. The enquiry is also a favour to your future self. Public purchasing files, shared grants, and the colleague who covers your leave all need a specification that stands without the original phone call.
Write it so that a refusal is informative. "Cannot meet the resistivity line" is a useful answer. "We will see" is not a quotation.
Performance first, brand when the science is locked
A performance specification says what the item must do under stated conditions. A volumetric flask of a named accuracy class, a piston pipette with a stated volume range and a stated systematic and random error, a water polish with resistivity and organic carbon at a stated temperature, a cryovial rated for a stated temperature: these are performance lines. Several makers may be able to quote them. NIST's index of documentary calibration procedures is a public reminder that "calibrated" is incomplete until the document names the procedure.
A brand specification is justified when the method is locked to a formulation. An enzyme unit is defined by the maker's assay. Substituting "a polymerase" can change magnesium, hot-start behaviour, and the result. In that case name the formulation and the unit definition, and say whether an equivalent must match those performance facts. A catalogue family, such as the classes listed in the NEB product catalogue, is a way to see that formulations differ. It is not a licence to paste a product page into your enquiry and hope the lot matches a paper.
Avoid specifications that only a single unspoken product can meet and that do not say why. Also avoid specifications so loose that any bottle passes. The middle is a numbered list a stranger can score.
The lines that belong in the file
Identity. Chemical name, CAS number where one exists, grade, salt form and hydrate, concentration if it is already a solution, polymer if it is plastic, accuracy class if it is volumetric glass. "Tris" is not an identity. "Tris base, the hydrate you will weigh" is closer.
Performance. Range, resolution, purity criterion, resistivity, temperature rating, sterility, nuclease or endotoxin claim, only where the assay needs that line. Each claim should be one a certificate can state or a receipt check can test. A pile of every impressive adjective is how the enquiry becomes unanswerable.
Environment. The room temperature and humidity you actually have, the electrical supply, ventilation, drainage, and the bench space. An instrument specified for a cool, dry metrology room will misbehave in a hot, humid one, and the quotation should say so if the maker's conditions differ from yours.
Quantity. Pack size and count in scientific units. A year's estimated use helps a seller propose a pack. It is still an estimate, not a commitment to take the goods.
Documents. Certificate of analysis, calibration certificate citing a named standard, safety data sheet, material declaration, or a sterility statement. Ask which of these will arrive with the quotation and which will arrive with the goods. File both.
Acceptance. The receipt check: seal intact, identity matches the certificate, a calibration point within the window, cold condition still true, no cracked glass. Write who may accept and what happens if a line fails. A failed line is a quarantine, not a quiet place on the shelf.
Constraints that change the design. Cold chain on arrival, installation, training, a named receiver. State them as questions the quotation must answer. Do not write them as a promise the seller has already made.
What to leave out
Leave out medical claims. A research reagent enquiry is not a request for a diagnostic device opinion, and this page is not medical advice.
Leave out assumptions about inventory, about being an appointed seller of a particular factory, and about dates that nobody has written down. Ask "can you quote this specification?" That question is complete. Availability and timing, if they can be stated, will appear in the quotation. This article cannot state them, and the website you are reading is not doing so either.
Leave out a pasted method from protocols.io or Addgene in place of the lines. Those libraries explain science. Your enquiry should extract the reagent class, the grade, and the tolerance the method quietly assumed.

How to compare the answers
Lay the quotations next to the numbered lines. Mark each line met, met with an exception, or refused. An exception that changes the salt form, the accuracy class, or the certificate is a different specification. Either accept it in writing or reject it. Do not discover it on the day the assay fails.
Prefer the quotation that answers the science clearly over the one that adds adjectives and skips a line. Ask follow-up questions in writing and file the replies with the original note. If nobody can meet a line, revise the line honestly. A requirement that the world's makers do not sell is not a high standard. It is a blocked experiment. Change the method or change the line, and record which you did.
Keep the enquiry, the quotation, the certificate, and the receipt check together. That bundle is what a later audit, a later student, or a later dispute can read. A folder of brochures is not the bundle.
Heat, humidity, power, and a file that travels
Indian laboratories often specify in conditions a temperate data sheet did not emphasise. Write the ambient temperature and humidity if the item is a balance, a pipette, a hygroscopic salt, an electrode, or a water system. Write the real electrical supply, including outages, if the item is a freezer, an autoclave, a cabinet, or a sequencer's supporting equipment. A cold-chain item needs a named receiver and a freezer that is already cold. Those sentences belong in the enquiry because they change what "fit for purpose" means.
A specification that will be read by a purchase office should not depend on your memory of a trade show. Use the numbered lines. Define abbreviations once. State the research use. Do not imply a clinical use you do not have.

Send the numbered specification, the acceptance check, and the documents you require. Name the site conditions that matter. Say whether you want installation described as a separate line. Use the quote form, and use contact if the file needs a conversation before it can be numbered.
Then wait for an answer you can score. A fast answer that ignores half the lines is a draft, not a result. The scientific need you wrote at the top is the standard. The quotation either meets it, with recorded exceptions, or it does not.

Questions from the bench
Should the enquiry name a brand?
Name a brand when the method is locked to a formulation, such as a particular enzyme with a published unit definition you cannot substitute. Use performance language when several products could qualify, such as a pipette range, a water resistivity, or a glassware accuracy class. If you name a brand, add the words or equivalent and define the performance that makes something equivalent.
Is a conversation enough to place a requirement?
A conversation can clarify the science. The requirement is the written specification you can score. File the numbered lines and the quotation that answers them. A call does not record an exception the seller mentioned once and you forgot.
What if two quotations look different in ways that are not scientific?
Score the scientific lines first. A quotation that drops the calibration certificate, the salt form, or the temperature rating is offering a different item. Note every exception in writing. Commercial timing is whatever the quotation itself states, and it is checked against that document rather than assumed from a web page.
Where should timing and document questions live?
They live in the quotation that answers the numbered specification. An enquiry asks whether that quotation can be prepared. Read the answer against each line, and treat anything the quotation does not state as information you do not yet have.
