A checklist before you press send

Walk one finished enquiry through aim, specification, documents, temperature, acceptance, and scope, then place it on the quotation page.

A checklist is easiest to trust when you walk one finished enquiry through it, in order, and only then open the page that sends it. The enquiry in this application is small on purpose. You need nuclease-controlled water and aerosol-barrier filter tips for RNA extraction from cultured cells. You do not need the reverse transcriptase in this message. The habit of writing is how to write a laboratory sourcing enquiry. The structured home for the file is laboratory procurement.

Academic research is the university route. After the checks, the quotation page or the contact page is where the file goes.

The aim

Write one sentence and read it against the lines. Aim: obtain water and filter tips so an RNA extraction from cultured cells can be set up under the laboratory SOP, research use only, with nuclease control stated on a document for the water and a filter plus a sterile claim stated for the tips. The extraction kit chemistry, the reverse transcriptase, and any later quantification are not this request.

If the sentence mentions an enzyme and the lines do not, the aim has drifted. If the lines mention a sequencing study, you are in a different document: commissioning a sequencing or proteomics study. This walk-through stays with water and tips. The check passes when a colleague can say what success looks like without adding a product you did not name.

The specification

Two lines, each checkable.

Water: molecular biology grade with a nuclease-control statement on the certificate, pack size you can finish under the SOP, container sealed. No catalogue code, because this walk-through does not have a document open that prints one. If your laboratory does, cite that document. Do not reconstruct a code.

Tips: aerosol-barrier filter, sterile claim on the accompanying document, racked, in the volume families the pipette actually uses. For this extraction that is the family up to about 200 microlitres and the family up to about 1000 microlitres, matched to the pipettes you will hold. Polymer as polypropylene unless the SOP says otherwise. Low retention only if the SOP already asks for it. Say so or leave it out. A silent "nice to have" becomes a confused acceptance later.

The check passes when each line has identity, a claim, a quantity, and no remembered code. Accurate micropipetting technique is why the volume family is part of identity and not a footnote.

The documents

Water: a certificate that states the nuclease-control claim and that will be matchable to the container if a lot is printed. Tips: a document that states the sterile claim and the filter, naming the product in words you can compare with the box. A safety data sheet, if it arrives, is filed for hazards and is not the certificate.

The check fails if the only document you asked for is "the usual paperwork". Replace that phrase with the two documents above. NIST's laboratory metrology pages are a public model of the idea that a claim points at a record. You are not calibrating the tips. You are refusing to accept an adjective with nowhere to look.

Temperature

These two lines are specified as acceptable at ambient on arrival. Write that. Cold evidence is not required for this request. Storage after receipt follows the product document: many of these goods are stored at ambient, dry, and the sheet wins if it says otherwise.

The check is the sentence in the file, not your intention. An enzyme is out of scope, so do not add a frozen line "just in case" without adding the enzyme. A mixed temperature story for goods you are not ordering makes the receiver look for a logger that will not be there. Storing biological samples from fridge to freezer is where the cells themselves are discussed. The cells are not a line in this message.

Acceptance

On receipt you will check: packages sealed; the water's description matches the grade and the certificate claim; if a lot is printed on the container and on the certificate, the characters match; tips are filtered, in the two volume families, racked, and the sterile claim is on the document; quantities match. Anything else is quarantine until you write an exception. There is no code to match unless one was printed on a document you cited.

The check passes when a person who did not draft the enquiry could perform it with the box and the file. "Looks fine" is not on the list.

What is out of scope

Write the exclusions in the same text. Out of scope: reverse transcriptase and its buffer, the extraction chemistry if it is a separate kit, cultured cells, any human or animal material, plastics other than these tips, and any sequencing or quantification. Also out of scope: asking the seller to decide ethics or biosafety. The cells, if they ever include restricted material, are an institutional question before they are a purchasing question. Naming exclusions is the check. A request that only lists water and tips can be read as incomplete. A request that lists them and then says the enzyme is excluded is complete.

Then the quote route

Open the quotation page only after the six checks pass. The page asks you to review selected products, set quantities, and send one structured request. An account is not required. If water and tips exist as catalogue records you have actually selected, set the quantities, and paste the aim, the two specifications, the documents, the ambient temperature line, the acceptance checks, and the out-of-scope list into additional requirements. That box holds up to five thousand characters. Complete full name, work email, organisation, and country. Phone is optional. Intended application can repeat the aim in short form. Tick the consent checkbox, which states that EVRINTH may use the details to respond to the quotation request. Then submit.

If nothing is selected, the submit control stays inactive. The page says the quote basket is empty. Do not invent a code to force a row. Move the same checked text into the contact page message, which requires at least ten characters and allows five thousand, and submit there. The laboratory procurement page is the discussion reference that points at contact; it is not an extra form, and it does not imply a turnaround time.

When either page succeeds, it shows a reference and says a confirmation will be sent to your email. File the reference with the copy of the text you checked. The reference means the request was received. It does not mean the lines were accepted. You will score the reply against the six checks.

If a check fails

Failed aim: rewrite the sentence until it matches the two lines. Failed specification: delete any code you cannot open, and name the filter and the water claim. Failed documents: replace "paperwork" with the certificate and the sterile statement. Failed temperature: add the ambient sentence. Failed acceptance: list the receipt checks. Failed scope: add the enzyme and the cells as exclusions.

A second failure mode is editing the text after you copied it into the form and not saving the copy you checked. The checked copy and the submitted copy have to be the same text. If you change a volume family in the box, run the specification check again on what the box now contains.

Safety and research use

Water and tips for RNA work are research consumables. They do not approve the cells. If the culture is subject to biosafety rules, those rules already apply, whether or not this message is sent. The WHO Laboratory Biosafety Manual is a public reference, not a permit. This walk-through is not medical advice. Do not add a diagnostic claim to make the request look more formal. Formal, here, means the six checks.

Nuclease control on the water is not a sterile claim on the tips, and the reverse is also true. Autoclaves and what sterilisation does not do is why those words stay on separate lines even in a short message.

The receiving-dock note

Add one sentence if your dock is hot or humid, or if power cuts are part of the building: these lines are specified as ambient, and the receiver will still note the date, the seal, and where the goods were placed so they are not left in sun or in a wet store. That sentence does not ask for dry ice. It stops an ambient specification being read as indifference. If a later request adds an enzyme, the temperature check on that new line will name evidence, and this water-and-tips file will not be copied forward unchanged.

Send

Read the six checks once more against the text in the form, not against your draft from yesterday. Submit on the quotation page if products are selected, or on the contact page if they are not. Keep the reference. The next action is to compare the reply with the lines, including any line the reply does not mention. A mention that is missing is still an open check.

Questions from the bench

What if one check fails as I am about to submit?

Do not send the file hoping the reply will repair it. Fix the line or mark it unconfirmed and say what document you still need. A submitted gap is harder to see than a draft gap, because the reference makes the thin version look official.

The quotation button does nothing. What should I check?

The submit control stays inactive while no product is selected. Either add a real catalogue record with the control labelled Add to sourcing enquiry, or move the same specification to the contact form, which can send a message without a product list.

Where do out-of-scope items go?

In the same text, under a heading that says they are out of scope. Leaving them out of the message entirely lets a reader assume they were forgotten. Naming them as excluded shows you considered them and are not asking for them in this request.

Should temperature be a check when everything is ambient?

Yes. Write that ambient receipt is acceptable for these lines and that cold evidence is not required. The check is then explicit. A later enzyme order will not inherit a blank and pretend ambient was a decision.
